Data Clerk Specialist

REPORTS TO: Data Coordinator

LOCATION: Everett Regional Center

 

DESCRIPTION:               

This position performs HMIS and other data entry for the YWCA’s Snohomish County programs and prepares timely and consistent reports for funders as necessary.

This position has a social justice component that requires critical thinking through the lens of racism and intersections with poverty. Knowing the core principals of antiracism and grounding those principles in everyday work are required job skills and core values. RESPONSIBILITIES:         

  • Prepares and sorts Shelter Plus Care and Housing Services Programs’ data for computer entry into the Snohomish HMIS System.
  • Assist Data Coordinator to enter all Shelter Plus Care, Housing Services, into the Snohomish HMIS System.
  • Manages client data system and program reporting data using the Homeless Management Information System, Client Track and spreadsheets.
  • Maintains close communication, collaboration and coordination with YWCA staff and all Shelter Plus Care Program partner agencies to ensure accurate data is being submitted on a timely basis.
  • Assists to establish and maintain a clear, detailed process with all Shelter Plus Care Partner Agencies for the delivery of intakes, interims and exits as well as annual assessment and any income or other household changes.
  • Understands multi-program outputs, outcomes and goals.
  • Updates SPC and Housing Services HMIS forms as needed in the regular basis.
  • Assist communication with Partner Agencies to ensure accurate data is being submitted on a timely basis.
  • Strictly adheres to HMIS and Agency confidentiality guidelines.
  • Follow strict HUD and County guidelines on quality, timeliness, accuracy and completeness.
  • Maintains and assures Data Quality, Timeliness and Accuracy required by CoC- APR purpose for CoC programs and housing.
  • Meets weekly with data team and supervisor
  • Attend all YWCA and program related meetings
  • Composes correspondence and other written materials as assigned
  • Support Shelter Plus Care staff on other related HMIS issues, up to 5 hours weekly
  • Other program duties as assigned
  • Incorporate the YWCA’s Social Justice Initiative by understanding how racism, sexism, classism and other oppressions intersect and are embedded in institutions.
  • Continue search for understanding of racial, gender and class equity.
  • Adhere to all Volunteer Services protocol relative to volunteer usage, recognition and monitoring.
  • Assure that clients, staff, volunteers and community partners are treated with respect and dignity regardless of race, ethnic background, gender or socioeconomic background.

QUALIFICATIONS & CORE COMPETENCIES:

  • Entry-level job with at least one year of professional experience in an office setting preferred.

And other requirements:

  • Significant proficiency in  Word and Excel
  • Experience with or ability to learn the Client Track database, HMIS and online data reporting systems
  • Strong organizational skills and keen attention to detail
  • Excellent written and oral communication skills
  • Demonstrated ability to meet multiple deadlines
  • Ability to work independently as well as part of a team
  • Ability to maintain confidentiality

PHYSICAL DEMANDS OF THIS POSITION:  The physical demands described here are representative of those that must be met by an individual to successfully perform the essential functions of this job.  Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.  In performing this position, the employee: 

  • Frequently sits for extended periods while performing desktop activities. 
  • Constantly & repetitively uses hands and wrists on computers and telephone. 
  • Must be able to lift at least 30 lbs.
  • Continuously and for long periods of time faces computer monitor when inputting, analyzing and reporting data
  • Frequent use of stairs

HOURS, RATE, & BENEFITS:

  • Hourly rate: $15.38. Non-exempt.
  • Part-time, 20 hours/week
  • This position does not have access to medical benefits, but will have generous vacation, holiday and sick plans available.
  • At the time of hire, employees may choose to voluntarily enroll in the Fidelity 403b Plan. Typically after two years of employment, employees are eligible to participate in the YWCA Retirement Fund.
