Snohomish County Data Coordinator

REPORTS TO: Snohomish County Regional Director of Administrative Services

LOCATION: Everett Regional Center

DESCRIPTION:

The Snohomish County Data Coordinator provides data and reporting of all programs within YWCA’s Snohomish County Division.  Primary functions include ensuring input of all data, data quality, reporting, and supervision of data entry clerks.This position ensures the timely submittal of reports for local, State, Federal, and United Way, and other contracts and grants.

This position has a social justice component that requires critical thinking through the lens of racism and intersections with poverty. Knowing the core principals of antiracism and grounding those principles in everyday work are required job skills and core values. RESPONSIBILITIES:

Human Resources

  • Hires, supervises, trains and evaluates two part-time data clerks.

Reports

  • Prepares and submits timely and accurate monthly, quarterly and annual reports for local, State, Federal, United Way and other contracts for Snohomish County Division.
  • Understands multi-program outputs, outcomes and goals as it relates to contract requirements

Client Data

  • Inputs and manages data and data systems for the Snohomish County Division of YWCA
  • Ensures all data is inputted into Homeless Management Information System, Client Track and spreadsheets.
  • Coordinates, prepares and submits timely and accurate monthly, quarterly and annual data reports for local, State, Federal, United Way and other contracts for Snohomish County Division.
  • Coordinates data entry and tracking of all programs, including, but not limited to: emergency shelter, project based voucher housing, permanent supportive housing, rapid re-housing, navigator, mental health counseling, children’s services, domestic violence, landlord engagement and other programs as needed
  • Ensures that all data inputted by Staff from all programs meets quality standards for benchmarks provided by County in regard to timeliness, accuracy completeness and overall data quality.
  • Manages client data system and program reporting data using the Homeless Management Information System, Client Track and spreadsheets.
  • Establish a system to remind program staff of data and reporting deadlines.
  • Communicates regularly with program directors, managers and other staff.
  • Works with directors and managers from all departments to ensure accurate data is being submitted on a timely basis.
  • Understands multi-program outputs, outcomes and goals as it relates to contract reporting requirements
  • Composes correspondence and other written materials as assigned.
  • Other duties as assigned.
  • Incorporate the YWCA’s Social Justice Initiative by understanding how racism, sexism, classism and other oppressions intersect and are embedded in institutions.
  • Continue search for understanding of racial, gender and class equity.
  • Adhere to all Volunteer Services protocol relative to volunteer usage, recognition and monitoring.
  • Assure that clients, staff, volunteers and community partners are treated with respect and dignity regardless of race, ethnic background, gender or socioeconomic background.
  • Division of duties: data clerk supervision (25%), reporting (25%), and data entry (50%)

QUALIFICATIONS & CORE COMPETENCIES:

  • Two - three years of relevant experience in social services, non-profit, administration or data management. 

AND demonstrated ability to:

  • Manage data for multiple government contracts in a not-for-profit setting.
  • Use Microsoft Office Suite (Word/Excel/Office) at an advanced level.
  • Prioritize and manage multiple tasks, while maintaining a high degree of accuracy.
  • Work effectively with staff members and clients from diverse racial, cultural and economic backgrounds.
  • Communicate effectively and compellingly, both verbally and in writing.
  • Work independently and as a part of a team, and make sound judgments without on-site supervision.
  • Experience working with communities of color and people from different cultures than your own.
  • Demonstrated understanding of the intersection of racism and poverty
  • Supervisory experience a plus.

  • Frequently sits for extended periods while performing desktop activities. 
  • Constantly & repetitively uses hands and wrists on computers and telephone. 
  • Must be able to lift at least 30 lbs.
  • Continuously and for long periods of time faces computer monitor when inputting, analyzing and reporting data
  • Frequent use of stairs

HOURS, RATE, & BENEFITS:

  • Salary:  $19 per hour
  • Full-time, 40 hours per week
  • Fair Labor Standards Act (FLSA) Classification: Non-exempt
  • Excellent benefits package including medical insurance, retirement plan, plus generous vacation, holiday and sick leave plans
  • At the time of hire, employees may choose to voluntarily enroll in the Fidelity 403b Plan. Typically after two years of employment, employees are eligible to participate in the YWCA Retirement Fund.
