Shelter Plus Care Program Administrative Coordinator

LOCATION: Everett Regional Center

 

DESCRIPTION:               

This position has a social justice component that requires critical thinking through the lens of racism and intersections with poverty. Knowing the core principals of antiracism and grounding those principles in everyday work are required job skills and core values. A successful applicant will have proven abilities in maintaining accuracy and confidentiality of client information, attention to detail in preparing paperwork and an enthusiasm for supporting the Shelter Plus Care Program. Our department administers a large volume of Housing Assistance. Computer literacy is required and will involve the use of Microsoft Outlook, Access, Excel, Word and property management data base. The candidate should also have a strong history prioritizing and handling a consistently high volume of tasks. Prior experience in the social services field or affordable housing specifically working with the homeless population to include low-income and disabled individuals highly desirable.

RESPONSIBILITIES:

  • Provide clerical and administrative support to management and other staff;
  • Follow direction, and work well under pressure;
  • Responsible for internal administrative functions of the department;
  • Supports front office staff with customer service to both phone and walk-in inquiries;
  • Responds promptly to client, landlord, and partnering agency telephone/email inquiries and requests;
  • Monthly invoicing for contracted projects;
  • Process various check requests;
  • Schedule and perform client briefings;
  • Update quarterly rental market research;
  • Use computer word processing, spreadsheet, and database software to prepare reports, memos, and documents;
  • Code and file material according to the established procedures;
  • Creates and maintains accurate hard copy program files;
  • Writes requests to tenants in regards to incomplete documentation, non-compliance, etc.;
  • Maintains adequate amounts of various forms and packets used by the program and coordinates printing services;
  • Schedules weekly inspections and updates program calendar;
  • Supports front office staff with customer service to both phone and walk-in inquiries;
  • Supports Program Specialist(s) and Intake Specialist;
  • Work respectfully and courteously with other employees, clients and the general public;
  • Incorporate the YWCA’s Social Justice Initiative by understanding how racism, sexism, classism and other oppressions intersect and are embedded in institutions.
  • Continue search for understanding of racial, gender and class equity.
  • Adhere to all Volunteer Services protocol relative to volunteer usage, recognition and monitoring.
  • Assure that clients, staff, volunteers and community partners are treated with respect and dignity regardless of race, ethnic background, gender or socioeconomic background
  • Other duties as assigned

QUALIFICATIONS & CORE COMPETENCIES

  • Excellent oral, written, and interpersonal communication skills
  • Strong customer service orientation and skills
  • Letter and report writing techniques.
  • Proficient in computer skills and MS Office Programs including Word, Outlook, Excel and PowerPoint.
  • Word processing, spreadsheet, and database software, including Word, Excel, and participant software program.
  • Working knowledge of Landlord-Tenant Act.
  • Experience working with communities of color
  • Demonstrated understanding of the intersection of racism and poverty

  • Continuously exchanges information through listening and talking with clients, agency staff, employers, representatives of community organizations and other individuals in the community.
  • Frequently reaches and grasps in using telephones, computers, fax machines and other office equipment and supplies
  • Frequently lifts and carries up to 5 lbs. of paperwork, files, and training materials
  • Frequently performs close work while updating files, reading program information, and using computer
  • Occasionally kneels, bends, pushes and pulls in obtaining files in drawers
  • Frequently goes up and down flights of stairs, bending and reaching.

* Continuously over 80% time, Frequently 20-80% time, and Occasionally under 20% time

HOURS, RATE, & BENEFITS

  • Full-time, 40 hours/week, $17.25 per hour
  • Fair Labor Standards Act (FLSA) Classification: Non-exempt
  • Excellent benefits package including medical insurance, retirement plan, plus generous vacation, holiday and sick leave plans
  • At the time of hire, employees may choose to voluntarily enroll in the Fidelity 403b Plan.  Typically after two years of employment, employees are eligible to participate in the YWCA Retirement Fund.
